Vital Dispatch — Care in Motion

Product

Every module, built for a nurse who is between visits.

Vital Dispatch is one app with one patient record. Here is what each part does, in the words you can use when you explain it to your team.

Dispatch board and calendar

The dispatch board shows every visit for the day with its nurse and its status: assigned, en route, arrived, complete. The calendar runs day, week and month views with a lane per nurse, and it handles multiple units, so two companies under one owner live side by side without mixing their schedules.

  • Live status: assigned, en route, arrived, complete
  • Day, week and month views with per-nurse lanes
  • Multi-unit: several companies under one owner
  • Round-robin assignment across available nurses
  • Map of the day's visits

Online booking with a service-area gate

Patients pick a service, an address and a time from a booking page you can link, embed or drop on a subdomain. The service-area gate checks the address before a slot is offered, and open slots come from your nurses' real availability, so dispatch never inherits a booking nobody can cover.

  • Link, embed or subdomain the booking page
  • Address checked against your service area before booking
  • Slots computed from nurse shifts and travel buffers
  • New online bookings post to dispatch for confirm or decline

Nurse charting on a phone

Nurses chart the visit on their phone: vitals, treatment, consent and photos, then sign. Every signed record is immutable and every change afterward is an addendum, never an edit. Charts move through a review chain: a reviewer signs off, the owner approves, and the medical director draws a 10% sample for oversight.

  • Vitals, treatment note, photos and signature on the phone
  • Signed records are locked; corrections are addenda
  • Reviewer, owner approval, then a medical-director 10% sample
  • Pick-lists and treatment menus you edit yourself

E-consents texted to the patient

Consent forms are texted to the patient as a link and signed on their phone before or at the visit. Templates are versioned, so a signed consent always points at the exact wording the patient saw, and retired versions are kept for the record.

  • Texted link, signature on the patient's phone
  • Versioned templates, one active per consent type
  • Signed consents attach to the visit and the chart

  • Opened on patient's phone 10:54
  • Signed 10:56 · attached to visit

Team chat built in

Dispatch and nurses talk inside the app instead of a consumer chat tool. @mentions push to the person's phone, but the push itself only says who mentioned you and which channel, so no patient information ever leaves the app.

  • Channels per unit and per topic
  • @mention push notifications
  • Push payloads never contain patient details

chat

  • #dispatch · Sam R. mentioned you
  • #north-county · 3 new
  • Push: “Sam R. mentioned you · #dispatch · tap to open”

Staff credentials and training

Track each nurse's license, certifications and required documents with reminders before they expire. A nurse whose credentials lapse is locked out of patient records automatically until the file is current. The training library holds your courses and quizzes, with team progress visible to the owner.

  • Credential expiry reminders
  • Automatic lockout when a credential lapses
  • Training library with quizzes and team progress

  • BLS · current
  • Quiz: IV site care · 92% · 6 of 7 complete

Supply ordering and QuickBooks

Nurses order from a supply catalogue inside the app and pay by card through QuickBooks Payments, with card data tokenized in the browser so the server never sees it. Each unit connects its own QuickBooks company, and orders carry staff and unit, never patients.

  • Supply catalogue you maintain
  • QuickBooks Payments checkout, card data tokenized
  • Per-unit QuickBooks connections

  • Unit: North County IV · QuickBooks connected

Notifications inbox and installable app

Assignment changes, mentions and reminders land in an in-app inbox and as push notifications on the nurse's phone. Vital Dispatch installs from the browser as a progressive web app today; Android and iOS store apps are in progress.

  • In-app notifications inbox
