What is Vital Dispatch?
Vital Dispatch is charting and dispatch software for mobile medical businesses, where the nurse travels to the patient. It combines online booking, a live dispatch board, nurse charting on a phone, e-consents, team chat and compliance controls in one app, built to HIPAA requirements.
Who is it for?
Mobile IV hydration companies first, plus mobile med spa and aesthetics house calls, concierge nursing, mobile phlebotomy and in-home injection or weight-loss programs. It fits teams of roughly 3 to 30 nurses and dispatchers, including owners who run more than one company.
Is Vital Dispatch HIPAA compliant?
Vital Dispatch is built to HIPAA requirements and we sign a Business Associate Agreement with every client. Each client gets a dedicated encrypted database, staff MFA, role-based access enforced in the database, append-only signed records and an audit trail. No software can make your business compliant on its own; we give you the technical safeguards and the documentation to go with them.
Does it replace our med-spa or office software?
For a mobile business, yes. Office med-spa software is built around rooms, a front desk and a desktop workstation. Vital Dispatch replaces the charting, consents and scheduling with versions built for a nurse who is in a car between visits.
Does it replace Jobber, Housecall Pro or a field-service app?
Yes for a medical team. Field-service apps handle dispatch but have no clinical charting, no consent workflow and no review chain, and they are not built to hold patient records. Vital Dispatch does the dispatch and the charting together.
Does it replace Slack or group texts for dispatch?
Yes. New online bookings post to a dispatch channel with confirm and decline, assignments push to the nurse's phone, and team chat with @mentions is built in. Nothing about a patient has to be typed into a consumer chat app again.
Do nurses use a phone or a desktop?
Nurses use their phone. Charting, consents, photos, status updates and chat are all designed for a phone screen, and the app installs from the browser without an app store. Dispatch and owners typically use a laptop or tablet for the board and calendar, but every screen works on a phone.
How long does onboarding take?
Most teams are live in one to two weeks. We set up your dedicated database, load your services, consent templates and staff, and train your dispatchers and nurses. Your first online bookings can run the same week.
Who owns the data?
You do. Patient records, charts, consents and photos belong to your business and sit in a database dedicated to you. If you leave, we export your data in standard formats.
Can I run more than one location or company?
Yes. An owner can run several units, for example two companies or two service areas, under one login. Each unit has its own calendar lanes, booking page, consent templates and QuickBooks connection, and staff can be shared or kept separate.
Do you handle payments?
Supply ordering for staff runs through QuickBooks Payments today, with per-unit QuickBooks connections. Patient checkout is on the roadmap; most mobile IV companies keep their existing card reader for now.
